Course Launch Support
Faculty share an important role in the setup and launch of online courses each semester. The table below outlines responsibilities shared between the Everspring team and KU faculty.

| Check broken links | The Everspring team will check all links in the Canvas course to ensure they work prior to the term start. The team will alert faculty of any broken links. | Faculty are responsible for updating or removing broken links from the course. |
| Audit course documents | Everspring will review the course to ensure all pages in the course and associated files are in the right location and accessible to students. Some items, such as exam and/or quiz answer keys, will be hidden from student view. The team also ensures that the syllabus is current, accessible, aligns with University formatting requirements, and lists the same required materials that have previously been provided to the Student Services team. The team will notify the faculty of any issues regarding course documents. | Faculty are responsible for course updates that may include file folder reorganization, syllabus and/or course updates to assure alignment, and adding alternative text to images that convey meaning. |
| Update due dates | Everspring will update all due dates in both Canvas and publisher LMS spaces. The team will notify faculty of any due date issues. | Faculty are responsible for clarifying and updating specific due dates based on Everspring feedback should questions arise. |
| Review Canvas settings and functionality | Everspring will check assignment settings to assure alignment across the course. The team will check to confirm the student survey is present as well as ensure there are no unpublished pages or announcements. The team will add module locks. Finally, the team will review student page rating data to identify any course functionality issues. The team will notify the faculty of any issues regarding Canvas settings and functionality. | Faculty may be contacted to delete or publish pages as appropriate, update or answer questions related to Canvas settings, or address course issues identified by student feedback, including but not limited to inaccessible resources, broken links, confusing instructions, or other issues related to course functionality. |
| Check for ongoing revision work | Everspring will check records for planned or open course revision tasks. The team will notify the faculty of relevant duplication-related deadlines. | Faculty are responsible for completing necessary updates in the primary course space and completing the Course Information Documentation Survey as needed by standard duplication deadlines. |
| Complete course and program-specific updates | Everspring will complete all course- and program-specific pre-duplication tasks to address program requirements, update third-party tools, and address course-specific needs. | Finalize course duplication process | Once a course has been duplicated, the Everspring team completes a final set of post-duplication tasks, including adding the instructor's bio, checking to assure module locks are in place, setting up groups, and completing any course- and program-specific tasks such as third-party tool setup. The team will contact the faculty for assistance as needed. | Faculty may be contacted to assist with third-party tools that require instructor-specific integration, providing or updating bio information, or answering questions related to group setup. |
Course Maintenance Best Practices
Keeping your course "clean" can:
- Help save future work and issues during duplication
- Make facilitation easy and clear for other instructors
- Provide a consistent, positive student experience by reducing functionality errors
- Ensure compliance with accessibility requirements such as Title II
Review the following tips for maintaining your online course.
Routinely audit and remove archived materials from the course (including files and unpublished pages) to reduce or eliminate the need for remediating older materials that are not accessible.
Periodically review links with Canvas link validator and page-by-page as YouTube videos that are no longer available or private will not be automatically flagged.
Submit updates or changes to your faculty bio to Everspring's Faculty Help Desk.
Keep files organized for easy access. We recommend this structure:
- Student Documents
- Published and visible to all
- Contains the final PDF version of files
- Instructor Only
- Only available with a link
- Contains an editable Word version of files
- Images
- Only available with a link
- Contains all images that are included on course pages
- Folders for each module within parent folders for further organization
- Delete old files or move to an Archive folder in Instructor-Only
- Run the Canvas link validator after any deletions
